Missions: Forms and Regulations

PhD students are required to be familiar with the DIAEE Department Missions Regulations attached hereto, with reference to the position "Non-employed personnel".
 
PhD students who will go on a mission will have to:
 
- Request authorization from the PhD Coordinator well in advance (preferably 15 days before the start of the mission) by sending an email to phd.energia-ambiente@uniroma1.it in whose subject it is reported:
 
[AUTH] surname, cycle, place of the mission
 
and including the following attachments:
  • Mission authorization request form filled in and signed by the student, in pdf format;
  • Declaration signed by your Supervisor of the relevance of the mission to the PhD research, in pdf format (see form in the right side menù)
MISSIONS ABROAD with increased scholarship: Request prior authorization from the Coordinator containing the start and end dates of the period (see the specific form to be filled in on the right side menu). Read the info on the University FAQ.

If the mission exceeds 180 days, ask giuseppina.mazzapioda@uniroma1.it in advance how to proceed: it may be necessary to produce a new request before the 180 days expire in order to continue the mission.
 
After returning from the mission, PhD students requesting reimbursement must:
 
- Request the authorization of the liquidation from the PhD Coordinator by sending an email to the address phd.energia-ambiente@uniroma1.it in which the subject is reported:
 
[LIQ] surname, cycle, place of mission
 
and containing the following attachments:
  • Mission Reimbursement Request Form filled in, signed by the PhD student and by the Supervisor, in pdf format;
  • Eventual certificate of participation, if the mission is related to a convention / congress / training course.
- Subsequently, the PhD student will receive the form signed by the Coordinator as the fund manager, and her/he will send this form and all the supporting documentation of the expenses incurred to Ms Giuseppina Mazzapioda, mail: giuseppina.mazzapioda@uniroma1.it. Any information required regarding the documents for the liquidation of the mission can be requested from Ms Mazzapioda through the same email address.

MISSIONS ABROAD with increased scholarship: Follow the info reported in the specific item of the University FAQ.

REQUEST FOR ADVANCE PARTIAL REIMBURSEMENT: PhD students can request an advance up to 75% of the expected cost for travel, accommodation and any registration fees for conferences/courses held in presence outside Rome.
