Procedures and forms for missions
All PhD students intending to carry out a mission in Italy or abroad must compulsorily complete the mission authorization form before departure, following the "mission procedure" below, regardless of any request for reimbursement of expenses and/or scholarship increase .

PROCEDURE FOR MISSION
 
PHASE 1: AUTHORIZATION

AT LEAST 20 DAYS BEFORE THE START OF THE MISSION
  • agree with their Supervisor (or, pending assignment, with the Curriculum Representative) on the performance of the mission;
  • request the letter of authorization to carry out the mission from the Curriculum Coordinator, providing an estimate of the expenses in the event of a subsequent request for reimbursement;
  • fill in the request on XUP and attach the poster and the analytical program of the Conference;
  • if you are going to visit a Body/Institute/University, you must attach an invitation letter on the headed paper of the host Body/Institute/University.

PHASE 2: REIMBURSEMENT REQUEST
 
The request for reimbursement of expenses must be made within 60 days of the conclusion of the mission by filling in the reimbursement form on XUP.
  • Upon returning from the conferences, the certificate of participation must be attached, while upon returning from the visiting period, a brief report of the activities carried out and the results achieved is required
  • The detailed receipts.
  • The documentation to be attached must be followed by the University Regulations and the attached Vademecum drawn up by the Department's Administrative Secretariat.

N.B. The entire "missions procedure" must be carried out under penalty of exclusion from the refund.

PROCEDURE FOR INCREASING 50% SCHOLARSHIP
 
Scholarship holders are entitled to receive a 50% increase in the amount of the scholarship for study/research periods spent abroad, even if for a few days. Anyone traveling to a country where there are no agreements for health coverage must contact the insurance office to activate insurance coverage for the stay abroad.
To obtain the increase, at the end of the period of stay, the following forms must be submitted to the doctoral sector:
1) mission authorization form (see "mission procedure");
2) certificate requested at the end of the visit period, issued by the host institution, which must also specify the start and end dates of the period.
